Host an Alumni Event

The regional networks strive to foster an inclusive community of regional alumni and support their lifelong relationship with Temple. To help maintain this lifelong connection, we’re inviting regional alumni to take the initiative and host events to bring alumni in their area together. These events are casual gatherings where attendees cover their own expenses, and there are no formal contracts involved or signed.

Event and Program Guidelines and Procedures

Location
Events must be hosted in a public place or venue. Personal or private residences will not be approved 

Dates
Events will not compete with or occur within one month of an Advancement Engagement Signature Event (such as Homecoming and Family Weekend or Temple Made Days). Upon submission the regional staff will notify the alum of any scheduling conflicts.

Purpose and Goal
Events should align with the mission and values of Temple University, and support at least one Temple University Alumni Association strategic priority.

Audience
Events should appeal to broad audiences and strive to have a minimum of 10 alumni attendees.

No contracts
The event cannot require a contract. Temple will not be a party to any contractual agreement(s) associated with these events.

No cost
These events must be free of charge or pay-as-you-go opportunities and are meant to be a cost-efficient way to engage more alumni across the country.

Vetting and Approval Process

Alumni Status
All regional volunteer event hosts must be Temple University alumni. No exceptions will be allowed. Staff will verify submitter and alumni status.

Volunteer and Event Vetting
Following standard volunteer interest procedures, regional staff will set up a 30-minute Zoom meeting to connect with the alum, especially if the staff has not worked with the alum in the past. During the conversation, regional staff will discuss the alum’s motivation for hosting the event, and review the form/event idea to ensure that it aligns with the event or program guidelines as listed above.

Decision Notification

Regional staff will make final approval decision and notify the alum within two weeks of submission.

Event Approval
Approval of events is subject to review and may be denied based on factors including but not limited to

  • conflicts with other scheduled events,
  • inappropriate or offensive content,
  • safety hazards,
  • the potential for harm to participants or the organization's reputation.

Temple University reserves the right to not approve alumni events that do not align with the mission, values or policies of the organization.

Event Promotions

Registration Page

Regional staff will work with Advancement Communications to create a registration page.

  • To differentiate these events on the full Alumni Events Calendar, all alumni-hosted events will use the same naming convention before the title: [City] Alumni Event.
  • The regional staff will serve as the liaison between the regional volunteer and the Advancement Communications team to execute.
Alumni communication channels

The event link and event description will be shared through various alumni communications channels to promote the opportunity.

  • Events will be promoted via a minimum of one social media post and one existing central alumni newsletter listing. If the event is taking place in a region where there is a current or former regional network, the event may also be promoted through the email listserv and social channels for the network.
  • The regional staff will serve as the liaison between the regional volunteer and the Advancement Communications team to execute.
Peer outreach

Regional volunteers who are hosting are encouraged to do individual outreach to their own personal Temple network and through peer outreach. Email templates will be provided for personal and peer outreach. Contact lists for alumni living near the event location will be provided to the regional volunteer for peer outreach. Lists will include

  • class year,
  • preferred email addresses,
  • regional alumni names and
  • school/college affiliation.

Alumni who have opted out, unsubscribed or have email exclusion codes on their records will not be shared.

Volunteers must review and sign the Temple Volunteer Confidentiality Agreement through DocuSign before lists are shared.

Required content

All event pages and written promotional materials will educate potential registrants that while the event is affiliated with Temple, it is a volunteer-driven event. All participants will be required to acknowledge and accept risks associated with an event, and further agree to relieve Temple University and event organizers of any potential liability associated with those risks.

Inclusive content

All event pages and written promotional materials will contain a statement that Temple University is committed to a policy of equal opportunity for all in every aspect of its operations, and further that Temple pledges not to discriminate on the basis of age, color, disability, marital status, national origin or ethnic origin, race, religion, sex (including pregnancy), sexual orientation, gender identity, genetic information or veteran status.

Event Expectations

Staff Support
Regional staff will communicate directly with the regional volunteer to ensure the event is a success, including sharing event checklists and discussing event details to ensure the volunteer has thought through all potential logistics.

Event Driver
The event is driven by the regional volunteer. This includes ongoing communication with the venue or program organization.

Pre-Event Reminder Emails
Regional staff will follow standard Temple Know Before You Go outreach to remind registrants of the event details.

Registration List and Event Supplies
The Regional staff will share the list of registered attendees and some supplies before the event. Supplies will, at minimum, include

  • the printed registration list,
  • small swag items,
  • sticky nametags, and
  • a walk-in sign-up list.

On-Site Event Management
The regional volunteer hosting the event is expected to manage the onsite attendee

check-in process, including the tracking of alumni and guest attendance, walk-ins and no-shows. Volunteer hosts are also expected to

  • capture event images,
  • post two to three event images and
  • tag @templealumni on social media during the event for resharing.

Postevent Outcomes
The regional volunteer will share a list of all attendees with the Regional staff no more than 48 hours after the event.

Postevent Emails
Regional staff will follow standard Temple postevent outreach to all attendees including a survey.
